1. Start with the same questions each week
Reserve a short review window and ask three questions: which commitments are overdue, which opportunities need a decision and which conversations should continue? Keeping the questions consistent helps you notice changes rather than produce a different report every week.
Use the CRM as the source for contact details, task dates and lead status. If you keep important commitments only in a personal notebook or email thread, bring the relevant facts into your review. The assistant cannot reliably recover context that is absent from the records and the information you provide.
2. Read first and make the business context explicit
If you use an external assistant with VentES, connect it to the intended business with CRM read access. Begin by asking it to confirm that business. Then ask for a summary of high-priority leads and follow-ups, including the records supporting each suggestion.
Try: “Review the available CRM summary, high-priority leads and follow-up information. Give me a short list of decisions for this week, show the evidence for each and identify anything missing. Do not change records or contact anyone.” The assistant can organize the response while the retrieved records remain your reference.
3. Choose a next action for each real conversation
For each selected lead, write what should happen next, who will do it and when. A useful action might be checking delivery requirements with a retailer or arranging a discovery discussion. “Follow up soon” leaves the important decision unresolved.
Consider a fictional candle business talking with a local gift shop. Before proposing another sales message, check whether the shop asked about minimum order quantities, display space or a sample. Those details should shape the next action more than a generic lead score. If you are unsure, ask the person rather than letting the assistant fill the gap.
- What was the last actual commitment?
- What information does the customer still need?
- Who owns the next action?
- What date makes sense for this relationship?
4. Prepare a factual CRM note and review it
When a useful detail belongs in the CRM, ask the assistant to search for the actual contact. If more than one matches, select the right person before preparing a note. Supply the facts yourself and keep speculation separate.
With the appropriate write capability, a VentES agent can propose a contact note for approval. Check the business, contact ID and text before executing. A saved note records context; it does not mean the customer was emailed or a task was completed. Inspect the result and use the CRM directly for any operation the connection does not support.
5. Close the loop at the next review
At the following review, compare the action list with what actually happened. Record responses, changed dates and decisions while the details are fresh. Keep unanswered questions visible so a plausible AI summary does not make unfinished work look complete.
Track a few measures that suit your business, such as commitments completed, relevant conversations or opportunities reaching a defined next stage. Treat contact counts and imported leads as activity measures, not proof of sales quality. If you use Catalyst’s post-graduation scoreboard, enter results manually or review a supported optional CRM import before confirming it.
